Innovative Driven is currently seeking an experienced and dynamic Intellectual Property Administrator to join the team at one of our most well-respected and collaborative global law firm clients. The IP Administrator will work with the firm's litigation, corporate, and pro bono practice groups to help administer their clients’ trademark portfolios.

Candidates for this position must have a minimum of five years of trademark experience from within a law firm or legal team.

The position will be hybrid, with three days a week onsite and two days remote. The core hours for the role will be 9:30-5:30, Monday through Friday. The firm ideally would like to have the candidate in place to start in September 2025.

DUTIES:

• Prepare and submit electronic filings utilizing systems provided by US Patent and Trademark Office (TEAS, TTAB, Assignment Center), US Copyright Office, and WIPO (Madrid System)
• File trademark applications, maintenance, renewals, and assignments in foreign jurisdictions;
• Assist with document preparation, including execution of signature pages, coordinating legalization, and distribution to local counsel
• Maintain precise docketing, follow–ups, and reminders
• Independently facilitate trademark filing, under the guidance of firm attorneys and counsel
• Manage firm’s trademark database docketing process and collaborate with the docketing specialist to make sure deadlines are met
• Maintain USPTO tracking monitor (IP Badger), review and forward updates as appropriate
• Assist with trademark clearance search requests and orders
• Review and circulate communications from USPTO, USCO, WIPO and foreign counsel
• Review trademark practice inbox and respond or forward to appropriate resource
• Monitor and provide updates regarding client status in connection with post-registration filings
• Develop practice area expertise in order to assist attorneys and clients
• Establish and maintain repository of practice area models, templates, and precedents
• Ensure the practice group’s internal webpage and email lists are kept accurate and updated
• Contribute to and help coordinate IP practice trainings
• Liaise with foreign counsel to review and process invoices related to overseas trademark prosecution and conflicts
• Maintain USPTO and USCO Deposit Accounts

REQUIREMENTS:

• Minimum five years of trademark experience in a law firm or legal environment
• At least five years of previous experience preparing and submitting electronic filings utilizing systems provided by USPTO
• Strong demonstrable knowledge of U.S. and foreign trademark prosecution and maintenance processes and procedures
• Adept with trademark specific and common office applications
• Ability to work overtime and travel when needed
